Privacy Policy

Last updated: January 1, 2025

1. Overview

This Privacy Policy describes how RoadScope collects, uses, and protects your personal information. We are committed to protecting your privacy and handling your data responsibly.

2. Information We Collect

We collect: (a) Account information: name, email, company, phone number; (b) Usage data: features used, routes created, exports generated; (c) Technical data: IP address, browser type, device information; (d) Content: maps, POIs, photos, surveys you create; (e) Payment information: processed securely by Stripe (we do not store card numbers).

3. How We Use Information

We use your information to: (a) Provide and improve the service; (b) Process payments; (c) Send service updates and notifications; (d) Provide customer support; (e) Analyze usage patterns to improve features; (f) Comply with legal obligations.

4. Information Sharing

We do not sell your personal information. We may share data with: (a) Service providers (hosting, payment processing, email); (b) Collaborators you invite to your projects; (c) Law enforcement when required by law; (d) In connection with a business transfer or acquisition.

5. AI and Data Processing

RoadScope uses AI features for regulations analysis and import processing. Your survey data may be processed by AI systems to provide features like permit requirement summaries. We do not use your proprietary route data to train AI models. AI features can be disabled in settings.

6. Data Retention

We retain your data for the duration of your subscription plus 30 days for data export. After account deletion, data is permanently removed within 90 days. Backup data may be retained for up to 1 year for disaster recovery. During a free trial we record product usage telemetry (logins, pages visited, and feature actions) to improve onboarding. In this telemetry, IP addresses and device identifiers are stored only as secret-keyed cryptographic hashes; an approximate region (country/province/city) may be derived from the IP address using a secure third-party geolocation service, and only that region is retained. Trial telemetry is automatically deleted after 12 months or upon account deletion, whichever comes first.

7. Data Security

We implement security measures including: (a) Encryption at rest and in transit (TLS 1.3); (b) Secure cloud infrastructure (Firebase/Google Cloud); (c) Access controls and authentication; (d) Regular security audits; (e) Incident response procedures.

8. Your Rights

You have the right to: (a) Access your personal data; (b) Correct inaccurate data; (c) Delete your data; (d) Export your data; (e) Opt out of marketing communications. Contact privacy@roadscope.app or support@soltec.ca to exercise these rights.

9. Cookies and Tracking

We use cookies for: (a) Authentication and session management; (b) User preferences; (c) Analytics (usage patterns, not personal identification). You can disable non-essential cookies in your browser settings.

10. Children's Privacy

RoadScope is not intended for users under 18. We do not knowingly collect information from children.

11. International Transfers

Data may be transferred to and processed in Canada and the United States. We ensure appropriate safeguards are in place for international transfers.

12. Changes to Policy

We may update this policy with 30 days notice. Material changes will be communicated via email.
